QuickBooks Desktop
Connect QuickBooks Desktop through the QuickBooks Web Connector, where available. What the wizard hands you, what to do on the QuickBooks computer, and how the connector behaves afterward.
QuickBooks in the provider picker is the desktop product. It is the one system that asks for no vendor credential: the platform provisions the connection and hands you what the QuickBooks Web Connector needs to reach it. This path is available where the platform runs the Web Connector service.
Before you start
- Connector-creation access, as for any connector.
- Administrator access to the computer that runs QuickBooks Desktop, with the company file you want to connect. The wizard says so: "You will need administrator access to the computer that runs QuickBooks Desktop to finish the setup."
The Authentication step
Pick QuickBooks on the Connection step. The Identifiers step asks for nothing. The Authentication step then reads "QuickBooks Desktop connects through the QuickBooks Web Connector. No vendor credentials are entered here: the platform provisions the connection and hands you a one-time username and password plus a configuration file for the Web Connector."
Select Set up connection. If it fails, the step reads Connection setup failed with the reason, and adds "If this keeps happening, QuickBooks Desktop provisioning may not be available in your region yet."
Where the path is not available, the step reads "QuickBooks Desktop connects through the platform Web Connector. This setup path is being finished and will be available shortly." instead.
The created panel
Setup finishes on a panel headed QuickBooks Desktop connection created, with the line "Finish the setup on the computer that runs QuickBooks Desktop."
The panel carries an alert titled Shown only once: "Copy the password now. It cannot be shown again; if it is lost, rotate it from the connector console."
It shows a Web Connector username and a Web Connector password, each with a Copy button that reads Copied once used, and a Download .qwc file button for the Web Connector configuration file.
Install in QuickBooks Web Connector
The panel lists these steps:
Download the .qwc file above and move it to the QuickBooks computer.
Open QuickBooks Desktop as administrator with your company file, then open the Web Connector (File > App Management > Update Web Services).
Add the .qwc file as an application and approve the access prompt.
Enter the password when prompted and enable the scheduled run.
Below the steps the panel notes: "The connection shows Configured until the Web Connector completes its first run; it becomes Connected automatically after that." Select Continue to data selection to choose the data sets, as described on Run your first sync.
After setup
- There is no manual sync. The data-selection panel reads "Data arrives automatically once the QuickBooks Web Connector starts polling. There is no manual sync for this connector." and Force sync does not apply.
- On Connector Health the row shows Configured until the Web Connector's first run, then moves to Connected on its own, within about 15 minutes of that run. Runs then appear in the Event log like any other connector's.
Managing the connection later
The connector's details panel on Connector Health carries two actions under Connection actions:
- Download .qwc file: "Download the Web Connector configuration file again. It contains no password and can be re-imported safely."
- Rotate password: "Rotate the Web Connector password. The current password stops working immediately; enter the new one in the Web Connector on the QuickBooks computer." The new password appears under New Web Connector password with the warning "This password is shown only once. Copy it now and enter it in the Web Connector." Select Done, hide it when you have copied it.
