Invite team members
Send an invitation by email, follow its status, and resend or revoke it when plans change.
You add people to QortexOS by inviting them by email. The invitation carries the role you choose, and the person sets their own password when they accept. Inviting is available to administrators and owners.
Send an invitation
Open the Users screen. In the sidebar, go to Settings, then Tenant Settings, then Users.
Select Invite member. A panel opens titled Invite a team member, with the line "They receive an email with an acceptance link that is valid for 7 days."
Fill in the four fields. Email, First name, Last name, and Role. The role picker starts on Select a role. You choose one role here; further roles can be added after the person accepts.
Select Send invitation. The panel confirms with "Invitation sent to email address." and a new row appears in the Invitations list marked Pending.
If a field is missing or wrong, the panel shows one message at a time: "Enter a valid email address.", "First and last name are required (at most 100 characters).", or "Select a role." If the invitation cannot be created at all, the panel shows Could not send the invitation with the reason underneath.
Occasionally the record is created but the email does not go out. The panel says so directly, and the row in the Invitations list carries the line "Invitation email not delivered yet - resend it."
What the invited person receives
The email subject is "Invitation to organization name". It names the person who invited them, carries an Accept Invitation button, and states "This invitation will expire in 7 days." It does not name the role you assigned.
From their side the process is short: they follow the link from the email, complete their account details, and then sign in. At their first sign-in they are asked to link an authenticator app; see Secure your account. Once they accept, the invitation moves to Accepted and they appear in the Team members table with the role from the invitation.
Invitation statuses
Each row in the Invitations list shows the address, a status, and a line reading "Invited as" with the role. Pending rows also show the expiry date, and any row that has been sent more than once shows a resend count.
| Status | What it means |
|---|---|
| Pending | The invitation is live and the acceptance link still works. |
| Accepted | The person completed their account and is now a team member. |
| Expired | The seven days ran out before the invitation was accepted. |
| Revoked | The invitation was canceled and the acceptance link no longer works. |
Resend an invitation
Select Resend on the row. This issues a fresh acceptance link and restarts the seven-day clock, so any earlier link for that address stops working. The row's resend count goes up each time a resend is delivered.
Resend stays available on a row showing Expired, so a lapsed invitation does not need to be recreated.
Revoke an invitation
Select Revoke on the row. A confirmation appears inline: "Revoke the invitation to email address? The acceptance link stops working." Choose Confirm revoke to go ahead, or Cancel to leave the invitation as it is.
Revoking is permanent for that email address. The invitation record stays in place, so a new invitation to the same address is refused with "An invitation for this email already exists - resend or revoke it instead", and a revoked invitation cannot be resent. If there is any chance the person still needs to join, leave the invitation in place or use Resend.
